Business Challenges

When Concierge Auctions approached us, the core challenge wasn’t a missing feature list; it was the existing platform with legacy documentation that needed to be reviewed and validated, an untested architecture, and workflows that couldn’t support product scale.

  • Legacy documentation and technical debt. The existing platform required a thorough technical assessment before new development could start. Moving forward without that visibility would have increased both project risk and long-term cost.
  • UX is not built for luxury transactions. High-value buyers and sellers expect a seamless, trustworthy experience. Friction at registration, bidding, and contract review was a direct threat to user adoption and transaction volume.
  • Manual operations limit the scale. Core auction workflows depended heavily on staff involvement at every step. That model doesn’t hold as auction volume grows.
  • Complex user permissions. Buyers, sellers, agents, attorneys, and admins all needed different roles and access levels. Getting the permission model right upfront was critical to avoid costly rework.

The platform also needed to orchestrate identity verification, financial transactions, legal agreements, real-time bidding, and role-based permissions within a single seamless user experience.

Project Roadmap

Rather than proposing a complete rebuild, ORIL first audited the existing platform, identified usable components, validated architectural risks, and created a phased roadmap that minimized time-to-market while preserving previous investment.

Ongoing iteration post-launch: expanding functionality, delivering a communication portal, reducing operational overhead, and building toward a simple, fully-digital, end-to-end, luxury real estate platform that puts the seller and agent in control of their sale and buyers in a transparent marketplace to purchase.

UX/UI Process

At this price point, every step of the transaction carries weight. A buyer registering for a $2M auction, a seller reviewing terms, an agent managing a live bid — none of those moments tolerate a confusing interface.

We mapped the full workflow for each user type before touching visual design, identifying where the existing experience created drop-off risk or required unnecessary manual intervention. The resulting interface is built around clarity at decision points: structured, professional, and fast to navigate — without sacrificing the depth of functionality the platform requires.

Flexible permission structures that let sellers bring in co-owners, attorneys, agents, or family members as viewers or active auction managers. For transactions at this price point, decisions rarely happen in isolation.

Results

Seven months from kick-off, Concierge Auctions had a live product covering the full auction lifecycle built on the existing platform with no straightforward path to scaling or extending it.

  • Unified the entire auction lifecycle in one platform. Buyer onboarding, registration, live bidding, and post-auction workflows are now consolidated into a single integrated system, replacing a process previously split across email, phone, and manual coordination.
  • 4–5 operational roles consolidated into workflows managed by 1–2 people. The platform centralizes and automates key auction operations, significantly reducing manual coordination.
  • Auction agreement completed in as little as 30 minutes instead of hours. Automated document generation, negotiation, and signing dramatically accelerated one of the most time-intensive processes.
  • Streamlined property details submission from days to minutes. Agents now submit property details, assets, and documentation through a centralized portal.
  • One-click property publishing. Clicking “Publish” instantly generates a complete property page from submitted assets — eliminating one of the most time-consuming manual marketing tasks.
  • Built to scale with the business. The platform centralizes registration, bidding, document management, and administration in a single system that supports growing auction volume without proportional operational effort.
  • Streamlined collaboration across every stakeholder. Sellers, agents, attorneys, and co-owners can coordinate, review, and sign within the platform, reducing the back-and-forth that delays high-value transactions.

The result was a market-ready auction platform that streamlined operations and automated previously manual workflows.
